Getting Started
What is Academic Juries?
Academic Juries is online jury management software for university music and performance departments. It handles jury scheduling, student registration, live faculty assessment, and delivery of results, so departments can replace printed forms and spreadsheets with one platform.
What is a music jury?
A jury is the final performance exam in many university music programs. A student performs for a panel of faculty, who assess the student's progress during the semester. Academic Juries manages the scheduling, registration, assessment, and results around that performance.
Who is Academic Juries for?
Department chairs and administrators set up semesters, venues, and templates. Faculty complete assessments during performances. Students register for their own time slots. It works for one department or several.
Do I need to install anything?
No. Academic Juries runs in a web browser, so faculty, administrators, and students need no software or app. Faculty can complete assessments on any device with a browser.
How do I get started?
Request a demo and we'll email you to schedule a personalized walkthrough. Setup then covers your departments and venues, your registration and assessment templates, your email templates and branding, and your faculty and student lists.
Scheduling and Registration
How does student registration work?
Each enrolled student receives a unique registration link by email. They accept the invitation, confirm their email address, complete the registration form your department designed, choose an available time slot, and confirm. Administrators set the registration deadline and decide what the form collects.
How do you prevent double-booking?
Each jury date has a set number of openings based on its time window and appointment length. When a date is full, it is no longer offered to students, and a student who already has an appointment rebooks instead of booking a second one.
Can students change their time slot?
Yes. A student can rebook their own appointment, and administrators can reschedule or remove one as well. Every change is recorded, including who made it.
Can we schedule across several rooms and block out breaks?
Yes. For each jury date you set the time window, the appointment length, and the venue (rooms, halls, theaters, studios, and more), and you can block out lunch and snack breaks in the jury schedule.
How do reminders work?
Invitation emails go out when you open registration, if you choose to send them, and a confirmation email is sent automatically when a student finishes registering. You can send a standard or critical reminder in one click to everyone who has not finished, or to a single student.
How do we add our students?
Add students one at a time or import a CSV file (first name, last name, and email are required). The import shows a preview and flags any problems before anything is saved.
Can a student take juries in more than one department?
Yes. The student roster is shared across your institution. A student is added once and can be enrolled in semesters in any department.
Do students need to create an account?
Students do not need a password. They use the link emailed to them and confirm their email address.
Faculty Assessment
How do faculty complete assessments?
Faculty open the Judging page, see their assigned students and profiles, and complete the assessment for each student in a web browser during the performance, using the customizable form your department built.
What kinds of questions can an assessment include?
Text answers, multiple choice, ratings on a numeric scale, and yes/no questions. Each department manages its own assessment templates, and a new template starts as a draft until you are ready to use it.
What happens when several faculty assess the same student?
Each faculty member's assessment is kept separately, and a student's PDF results include the assessment from each faculty member.
Who can see and change what?
Account administrators have full access. Department managers manage semesters, registration, jury dates, and students in their own departments. Faculty see jury schedules and complete assessments for their assigned departments, and cannot change semesters, registration settings, or student records.
Results and Records
How are results delivered?
Administrators can download results as PDFs for one student or in bulk, and email them to students and to faculty. Bulk PDF export with automatic email delivery is included in the Beethoven plan and above.
Can we filter and review results?
Yes. The Results page can be filtered by semester, department, or student.
How long are student results kept?
A student's registrations and assessments stay available throughout their time at your institution.
Can we export our data?
You can export your student roster as a CSV file at any time. A separate Data Exports add-on for jury assessment results is coming soon.
What happens when a semester ends?
When all juries are finished, an administrator completes and locks the semester. It becomes read-only, and completed semesters can be shown or hidden in the list. Locking cannot be undone.
What happens when students graduate?
Add a graduation date to a student record. Once the date passes, the student is marked Graduated and hidden from the default student list, and their records remain.
Customization and Branding
Can we customize the registration and assessment forms?
Yes. Forms are built from the fields you choose (text, multiple choice, ratings, and yes/no), and each department manages its own templates. Name, institution ID, pronouns, and headshot are included in every registration automatically.
Can we customize the emails students receive?
Yes. Each department has templates for six emails: invitation, reminder, critical reminder, registration confirmation, jury completion, and assessment results. Templates use your own branding and wording, with placeholders such as the student's name and the semester that fill in automatically.
Can we use our school's branding?
Yes. Every plan supports school-specific branding or institution themes, and each department can customize the look of its student registration portal. The Brahms plan adds custom subdomains.
Can we give students instructions during registration?
Yes. Each semester can show a message at the top of the student registration page, such as department instructions, contact information, or policies.
Security and Privacy
How do faculty and administrators sign in?
Sign-in and account security are handled by Auth0, a dedicated authentication provider. Access is limited by role and by department.
Does Academic Juries support single sign-on?
SSO and SAML integration with your institution's identity provider is available on the Brahms plan; contact us to discuss it.
How is student data protected, and what about FERPA?
Faculty and administrators sign in through Auth0, and access is limited by role and department. For questions about data privacy or FERPA requirements at your institution, email support@academicjuries.com and we will answer them directly.
What happens when a faculty member leaves?
An administrator can deactivate the user. They can no longer sign in, and their historical data, including enrollments, assessments, and audit logs, is preserved.
Is there a record of changes?
Student records keep an email history and an audit log, and every appointment change is recorded with who made it.
Pricing and Plans
How does pricing work?
Plans are billed per semester or per year (annual billing is a single upfront payment at a discount) and are based on the number of areas, meaning instrument or performance areas, you run juries for. Additional areas can be added starting at $150 per semester. See the plans on the pricing page for details.
What is an area?
An area is an instrument or performance area, such as Voice or Piano, that you run juries for. Each area can have its own registration and assessment forms.
How many areas does each plan include?
Mozart includes 1 area, Beethoven up to 5, Haydn up to 13, and Brahms 14 or more. Additional areas can be added to any plan.
What support is included?
Email support is included on every plan. Beethoven adds SMS, Haydn adds video conferencing, and the Brahms plan has customizable support and a dedicated account manager.
What does the Brahms plan include?
Brahms is for large institutions and multi-campus deployments. It adds custom subdomains, 14 or more areas, SSO and SAML integration, and a dedicated account manager. Contact us for pricing.
Do you offer annual billing?
Yes. Annual plans are a single upfront payment at a discount compared with two semesters billed separately, and the pricing page shows the saving.
